What is sales engagement software?
Sales engagement software runs multi-step outreach: a sequence (or cadence) of emails, calls, LinkedIn touches and tasks that each prospect moves through automatically until they reply or the sequence ends. It tracks every touch, pauses when someone responds, and reports which messages and steps work.
The category covers two quite different kinds of product:
- Revenue platforms for sales teams, such as Outreach and Salesloft. They connect tightly to the CRM and add conversation intelligence, deal management, forecasting and AI agents. They are sold by quote, per user.
- Cold outbound tools, such as Instantly, Smartlead, lemlist and Reply.io. They focus on sending outreach at volume across many mailboxes, with built-in warmup and deliverability features. They publish prices and are often bought by founders, small teams and agencies.

How to choose a sales engagement tool
- Decide which kind you need. A sales team working CRM opportunities needs a revenue platform. A team or agency running cold outbound at volume needs a sending tool. Many companies use one of each.
- Count channels. Email only, or email plus LinkedIn, calls, SMS and WhatsApp? Multichannel features are often extra or on higher plans.
- Size by contacts and send volume. Cold outbound tools price by active contacts and emails per month, not just users.
- Plan deliverability first. Separate sending domains, warmed-up mailboxes and verified lists matter more than which tool you pick. Check what warmup, inbox placement and verification are included.
- Check CRM sync. Replies and meetings should land on the right CRM records without manual work.
- Review compliance. Cold email and calling are regulated differently by country. Include unsubscribe handling and data-protection review in your setup.
Features to evaluate
| Feature | Why it matters | Question to ask |
|---|---|---|
| Sequences and conditions | Branching on opens, replies or clicks makes outreach feel less robotic. | Can steps branch on prospect behaviour? |
| Mailbox rotation and warmup | Spreads volume across inboxes to protect sender reputation. | Is warmup included, and how many mailboxes can we connect? |
| Unified inbox | Handles replies from many mailboxes in one place. | Can replies be triaged and assigned? |
| LinkedIn and calling | Multichannel sequences usually lift response rates over email alone. | Are these included or paid add-ons per account? |
| CRM integration | Keeps activity and outcomes on CRM records. | Is it two-way, and which objects sync? |
| AI features | AI drafting, reply handling and agents can save time but need review. | What do they cost (credits or add-on), and can we turn them off? |
Pricing and total cost
Revenue platforms are quoted per user, sometimes with consumption-based AI credits. Cold outbound tools publish plan prices capped by contacts and emails per month. Budget separately for sending infrastructure (domains and mailboxes), email verification, and channel add-ons such as LinkedIn automation.
Example: about 25,000 contacts and up to 90,000 emails a month, monthly billing on 20 Oct 2026: Smartlead Pro is $94 (30,000 active leads, 90,000 emails). Instantly Hypergrowth is $97 (25,000 uploaded contacts, 125,000 emails). Both include unlimited email accounts, but you still pay for the mailboxes themselves.
Which tools to shortlist, by situation
- Enterprise sales teams on a CRM: Outreach or Salesloft.
- High-volume cold email: Instantly or Smartlead, both with unlimited email accounts.
- Agencies running many clients: Smartlead (white-label workspaces) or Instantly’s Agency bundle.
- Email plus LinkedIn and calls in one sequence: lemlist Multichannel or Reply.io Multichannel.
Common mistakes
- Sending from your main domain. Cold outreach problems can hurt the domain your customers and invoices depend on.
- Skipping verification. Bounces damage sender reputation fast. Verify lists before they enter a sequence.
- Buying the biggest plan for volume you cannot deliver. Ramp sending gradually; the cap on your plan is not a safe sending rate.
- Letting AI send unreviewed. Review AI-written emails and replies before they go to real prospects.
Sales engagement FAQs
What is the difference between sales engagement and a CRM?
A CRM stores customer records and deals. A sales engagement tool runs the outreach (sequences of emails, calls and messages) and syncs the activity back to the CRM. Some CRMs include basic sequences.
Why don’t Outreach and Salesloft show prices?
Both sell by quote. Outreach’s page says pricing is per user and customised to your team; Salesloft’s page directs buyers to talk to sales.
Do “unlimited email accounts” mean unlimited sending?
No. You can connect as many mailboxes as you like, but plans still cap contacts and emails per month, and each mailbox should send at a safe, gradually increased rate.
How we researched this page
This guide is desk research by the SoftPilot Editorial Team. We have not tested these tools hands-on, and we treat vendors’ customer counts and results as claims. Prices and plans were read from each vendor’s official pricing page on 20 October 2026. No vendor paid for inclusion, and SoftPilot earns nothing from the links on this page.
