Email Verification software profiles

What is email verification software?

Email verification software checks whether an email address can receive mail before you send to it. You upload a list (bulk verification) or call an API when someone types an address into a form (real-time verification), and each address comes back with a status such as deliverable, risky, undeliverable or unknown.

Why it matters: sending to addresses that bounce damages your sender reputation with mailbox providers, which can push even your good emails into spam. Verification removes bad addresses before they cost you deliverability. It also blocks fake and mistyped signups at the point of capture.

Who needs it: marketers sending newsletters and campaigns, sales teams doing cold outreach, product teams with signup forms, and anyone migrating an old contact database to a new email or CRM platform.

What a verifier actually checks

CheckWhat it catches
SyntaxMalformed addresses and obvious typos (for example a missing “@” or “gmai.com”).
Domain and MX recordsDomains that do not exist or are not set up to receive mail.
Mailbox checkWhether the receiving server accepts mail for that specific address, without sending an email.
Catch-all (accept-all) domainsDomains that accept every address, so a single mailbox cannot be confirmed. These are usually marked risky.
Disposable addressesTemporary inboxes often used to grab a freebie and disappear.
Role-based addressesShared inboxes such as info@ or sales@, which often have lower engagement.

Quick comparison: six email verifiers we have researched

All six charge per verification credit. What differs is the entry price, whether credits expire, what is free, and what else is bundled.

How to choose an email verifier

  1. Decide how you will verify. One-off list cleaning needs bulk upload. Signup forms need a real-time API or form widget. Ongoing CRM hygiene needs an integration that verifies new contacts automatically.
  2. Estimate your annual volume. Per-credit prices fall sharply with volume, so price the pack size you will actually use.
  3. Check credit expiry. If you clean lists occasionally, credits that never expire are worth more than a slightly cheaper pack that lapses after a year.
  4. Check what is free. Several vendors refund credits for “unknown” results and do not charge for duplicates, which lowers the real cost per useful result.
  5. Test with your own data. Use the free credits on a sample that includes addresses you know are good and bad, and compare how each tool labels catch-all and unknown results.
  6. Review data handling. You are uploading personal data. Check where it is processed and what compliance certifications the vendor states, and ask for documentation if it matters to your organisation.

Features to evaluate

FeatureWhy it mattersQuestion to ask
Catch-all handlingCatch-all domains are common in B2B lists and are the hardest results to call. How are catch-all addresses labelled, and is there extra checking for them?
Unknown-result policyUnknowns are not actionable, so paying for them inflates cost. Are credits refunded for unknown results?
Real-time APIStops bad addresses at signup instead of cleaning them later. What is the typical response time, and are client libraries provided?
IntegrationsAvoids exporting and re-importing lists by hand.Does it connect natively to our CRM or email platform?

Email verification pricing and total cost

Verification is sold in credits, usually one credit per address checked. Vendors offer one-time packs, monthly subscriptions (often at a discount), or both. The cost per address drops with volume.

Worked example: cleaning a 50,000-address list once, at one-time pack prices on 20 Oct 2026: Emailable $245, Bouncer $250, Kickbox $275. Differences in refunds for unknowns and duplicates, and in credit expiry, can matter more than the headline gap.

Which verifiers to shortlist, by situation

  • Occasional list cleaning: tools whose purchased credits never expire, such as Bouncer, Emailable and Clearout.
  • Small one-off jobs: Kickbox sells 500 verifications for $5, and Bouncer and NeverBounce sell 1,000 for $8.
  • Verification plus deliverability monitoring: ZeroBounce bundles inbox placement tests, blacklist and DMARC monitoring in its ONE subscription. Bouncer and Emailable also offer deliverability tools.
  • Data hosted in the EU: Bouncer states it is located and hosted in the EU. Kickbox states verification and support are based in both the US and the EU.
  • Protecting signup forms: look at real-time APIs and form tools such as Clearout Form Guard, Emailable’s validation widget and Kickbox’s verification API.

Common email verification mistakes

  • Choosing on published accuracy figures. Vendors publish their own accuracy percentages. They are not independently comparable, so test on your own sample instead.
  • Treating “risky” as “safe”. Catch-all and role-based addresses can bounce or disengage. Send to them separately, or not at all, until they show engagement.
  • Verifying once and forgetting. Addresses decay as people change jobs. Re-verify lists that have not been mailed recently.
  • Buying credits that expire before you use them. Match pack size to realistic usage if credits lapse.

Email verification FAQs

Does email verification send an email to the address?

No. Verifiers check the address format, the domain’s mail setup and the receiving server’s response without delivering a message.

How much does it cost to verify 1,000 emails?

On 20 Oct 2026, the smallest one-time packs were $8 for 1,000 at Bouncer and NeverBounce and $10 for 1,000 at Kickbox. Larger packs cost less per address.

What does a catch-all result mean?

The domain accepts mail for any address, so the verifier cannot confirm the specific mailbox exists. Treat these addresses as risky.

How often should I verify my list?

Verify before importing a new or old list, and again before mailing any segment that has not been mailed for a few months. Real-time verification at signup reduces how much cleaning you need later.

How we researched this page

This guide is desk research by the SoftPilot Editorial Team. We have not tested these tools hands-on, and we do not repeat vendors’ accuracy claims as fact. Prices and terms were read from each vendor’s official pricing page on 20 October 2026. No vendor paid for inclusion, and SoftPilot earns nothing from the links on this page.

Why Hunter is not listed here: Hunter was on our original research list, but it positions itself as an all-in-one outreach platform, with verification sharing a credit pool with email finding. Its profile is in our lead generation category: Hunter.
